ECPC MEMBERSHIP MEETINGS
Because we have members from Pensacola to Tallahassee (covering sixteen counties within Florida) plus members from eight states and Canada, it is next to impossible to physically gather the Club members for a meeting on any particular day. So we are venturing into new grounds with the "Cyber Organizational Meeting" (COM) to nominate/vote for our officers and to sign up for committees. Through our website and emails to members we will be nominating members for Officers the later part of November and voting from the Nomination list in early December.
All nominations and elected officers must be an ECPC member and live full time/permanent resident within the northwest Florida panhandle, which is within our USAPA District. A nominating committee will be appointed to collect the nominations. The results will be posted on the website and emails sent to members. Voting will take place soon after the nominations at a scheduled time.
The member with the most votes at the end of the count will take office on January 1 immediately after votes have been tallied and posted in the later part of December. These positions will be for a one-year term (from January 1 through December 31 of given year).
During this same COM we would like you to volunteer for a committee. This section of the COM is not for nominating/voting but an opportunity for you to sign up and help on various committees. You many choose to be on several committees...it is up to you. The elected Vice President will select a chairperson for each committee.

OFFICER’S RESPONSIBILITIES - These are general suggestions for officer
responsibilities. May be changed or expanded by membership.
President
Presides over club meetings.
Accountable for Administration of Club business.
Writes bi-annual (twice a year) update letter to members for website.
Responsible for initiating Committees and volunteers.
In case of officer vacancies, shall appoint, with other officers’ majority approval,
interim replacement until official annual election can be held.
Vice President
Fills-in in absence of President.
Appoints Chair to all Committees and oversees activities.
Secretary
Writes minutes for meetings; issues minutes/notices of meetings to
Webmaster for publication.
Reports all new membership application information to officers.
Keep Club records.
Conduct all correspondence relating to Club meetings.

Treasurer
Receive and deposit all funds due to Club.
Pay approved bills/expenses.
Make sure all accounts balance and never let account(s) be overdrawn or penalties be applied due to overdrawn account.
Furnish financial reports (including official bank statement) to Officers and Membership.

COMMITTEES
Vice President oversees all Committee activities and VP appoints Chairperson

MERCHANDISE
With approval of ECPC Board Members and only when funds are available for such purchaes, responsible for ordering and distributing merchandise as needed. Will keep up-to-date records of available merchandise as well as merchandise that has been sold and when sold. Pay expenses of approved merchandise through club treasury and furnish financial report(s) (at least every six months or more) to ECPC Board with accounting of merchandise.
SOCIAL
Plan at least two socials per year, one of which will be an event during
the month of February while our Snowbird members are visiting; and
one of which would include the annual Cyber/Organizational Meeting
for the nomination of officers and sign up for committees in late fall.
There are no limits to number of social events but current treasury funds
may dictate the numbers. Also, we always like to hear from our members
about what activities you would like the club to organize. All suggestions
welcome.
TOURNAMENTS
Help Tournament Director with organizing, supervising and participating in local ECPC sanctioned tournaments. May need to tape courts; refereeing; tally scores; acquiring prizes; ordering supplies, t-shirts and equipment; photography; and acquiring food/drinks.

MEMBERSHIP
Committee is responsible for attracting and integrating new members. Must have at least one membership-recruiting event towards the middle of January each year (i.e. "Recruiting with Chocolates") and provide a membership recruiting table at other club events such as tournaments and socials. Membership Committee does not collect Membership dues but rather turn any dues collected over to Treasurer immediately along with copy of new member's application form.
NOMINATING/VOTING
By mid-November each year at least two members will be appointed by current ECPC Officers for collecting and accounting for nominations from membership for the annual election of officers in December. Committee appointees cannot be a present officer and must be a member in good standing at time of nominations and voting. All nominations and votes must be made by current membership in good standing and verified by Nominating Committee with the Secretary of ECPC. Nominating/Voting Committee will report results to Officers of ECPC only, no later than December 20.
